Our Accessibility & Multi-Modal Communication Policy
Our Core Belief: At Solace, we believe that an organized, stable home is a fundamental right, not a luxury. We know that every person processes energy and information differently. We proactively adapt our communication, speed, and tools to completely honor your physical comfort, cognitive energy, and unique processing style.
To ensure we meet and exceed Ontario’s accessibility standards (Accessibility for Ontarians with Disabilities Act), we build the following supportive tools directly into our standard service toolkit:
1. Sensory, Auditory, & Speech Adaptations
We recognize that voice-only communication can be a barrier, and that environments can quickly become overwhelming.
Visual & Written Support: We carry a physical whiteboard and markers for real-time written chats, keyword highlighting, or sketching out a room layout.
Tech-Assisted Communication: We gladly use free live-transcription apps (like Google Live Transcribe or native Live Captions) on a tablet so you can read along with our speech in real time.
Non-Verbal & Speech Support: If you are non-verbal, use an AAC device, or experience speech fatigue, we pause to let you type, gesture, or point. We always establish clear non-verbal cues (like a thumbs up/down or a physical "Pause" card) before we begin.
Environmental Adjustments: We will gladly dim lights, adjust music, minimize high-contrast visual clutter, or speak in a soft, low cadence to match your sensory needs.
2. Vision & Tactile Predictability
For clients who are blind, low-vision, or partially sighted, spatial stability is linked directly to physical safety.
Preserving Mental Maps: We will never permanently relocate a vital item, adjust a frequently used walkway, or change the orientation of furniture without your explicit permission.
Tactile & High-Contrast Systems: We utilize high-contrast labeling, large-print markers, or distinct tactile markers (like raised bump-dots) on bins and shelving so systems can be felt and recognized easily without relying purely on sight.
3. Cognitive & Neurodivergent Tools
For clients navigating high anxiety, executive dysfunction, memory loss, ADHD, or autism, we break the session down to eliminate decision fatigue and cognitive overwhelm:
Visual Schedules & Task Cards: We use simple, highly visual step-by-step checklists or color-coded cards so you always know exactly what is happening next without guessing.
Explicit "Sorting Mats": We use physical, clearly labeled mats (such as Keep, Relocate, Decide Later) to give physical items a distinct visual home during sorting, reducing the mental weight of making immediate choices.
Relaxed Pacing: As promised in our What to Expect guide, your cognitive energy levels dictate our speed. We encourage frequent, guilt-free breaks.
4. Physical Mobility & Dexterity Boundaries
We proactively design your physical space to prioritize your long-term safety, autonomy, and joint protection:
The Ergonomic Reach Zone: We structure your daily-use items around your specific physical reach. We map your layout so you never have to navigate hazardous heights, unstable steps, or painful bending zones.
Fine-Motor & Grip Accessibility: We intentionally select storage solutions that match your manual dexterity. We avoid bins with stiff latches, tight snap-lids, or heavy configurations that can aggravate arthritis, tremors, or weakness.
Zero-Pressure Participation: You never have to lift, carry, or handle items to participate. You can direct the entire session comfortably from a seated, resting, or accessible position while we take care of the physical labor.
5. Language, Translation, & Cultural Traditions
We recognize that home is deeply tied to identity, culture, and your preferred language. We welcome, celebrate, and actively accommodate non-English speaking clients and multi-generational households:
Bilingual & Multi-Lingual Labeling: We believe home organization systems should speak your language. We will gladly design all of your drawer labels, bin markers, and categories in your preferred native language, or create bilingual side-by-side labels (e.g., English and Cantonese, or English and Punjabi) to support the whole family's daily routine.
Translation-Friendly Pace: If we are utilizing a translation app, working alongside a family interpreter, or communicating through translated text, we build extra time into our day. We slow down our process completely so that nothing is rushed, lost in translation, or miscommunicated.
Honoring Cultural Practices: Every home functions by its own cultural norms. We take your lead regarding home customs, whether that means following specific shoe-removal traditions, handling sacred or spiritual objects with designated care, or respecting how items are grouped according to traditional dietary, kitchen, or lifestyle practices.
6. Continuous Feedback & Alternative Formats
Accessibility is a collaborative, evolving process. We love to learn and improve!
Your Input Matters: If any tool, communication style, or layout isn’t working perfectly for your daily flow, tell us. We will immediately pivot to find an approach that feels supportive.
